how to convert text (odt) document to calc?

Asked by nnarta

I try to divide similar tekst (odt format) into parts, which should be in different columns in calc format. Copy and paste is a way to do it, but will take a lot of time. How to make this easier?

Hello

Yes, that's rather tricky.. You can do it with File > Open, but using the Insert > Sheet > From file

but you've to find the file type in the File Type drop-down list

nnarta,

You can also try copying the text from the openoffice write document, and then pasting it into a new openoffice calc worksheet.

Please return to Launchpad and mark this question Solved, if this resolves your question.

Thanks!

Hello,
copy-paste is ok, but it will take me nearly a month to replace
the whole info. I know that there is a quick way to do it and to control the content of each
column, by using sth like find/replace function.

Anyway, thanks to all of you!

Marta

nnarta,

That did not come across the way you intended. There is no bold or italic text.

You may resend the sample as an odt file to hlmuller<deletethis>@<deletethis>yahoo<deletethis>.com

Don't worry about the language difference!

Thanks,

Harvey

nnarta,

Thank you for sending the sample. The green, purple, and blue columns are easily distinguished from each other because they are separated by commas.

But I see a problem in that the yellow column is not separated from the green by a comma.

If the yellow column is ALWAYS ended by the word "Blagoevgrad", then I can provide you instructions that will insert a comma immediately after Blagoevgrad.

Once all of the columns are clearly separated by commas, then it will be easy to import into OpenOffice Calc.

Please let me know if Blagoevgrad always indicates the end of the first, or yellow column.

Thanks!

The word Blagoevgrad always indicates the end of that first part.

nnarta,

To convert the data to a format OpenOffice Calc can use, every column of data must be separated by a character, most times a comma (,) is used.

I see two problems:

1. There is no clear separation between columns 1 and 2. Therefore a comma must be inserted between columns 1 and 2. Although "Blagoevgrad" normally marks the end of column 1, "Blagoevgrad" is used in other columns. This means you cannot simply find and replace all instances of "Blagoevgrad" with "Blagoevgrad,".

2. Commas are present in column data. In the second row, column 4, there is a comma between Botev and se. This means OpenOffice Calc would create 5 columns for this row.

These are my recommendations, which will require you to manually edit the document prior to conversion to OpenOffice Calc:

A. Open the document and save as <Document Name>-CORRECTED

That will give you a clean copy to work with.

B. Use the "Find and Replace" function in OpenOffice Writer to manually find and replace the first instance of "Blagoevgrad" with "Blagoevgrad," in each row of data. Do not find and replace all, or you will put commas in columns 2 through 4 where there should not be any.

C. Using the second row of data as an example, replace the comma between Botev and se with a ^.

    Before: Botev“, se
    After: Botev“^ se

This must be done for each column where you have a comma within the data. We will only be using commas to distinctly separate columns.

D. After the data is "cleaned", save the document as a text file. Open the text file, copy it and paste it into a blank calc worksheet. You will get a window titled "Text Import". In the "Separated by" section, uncheck the "Tab" box and check the "Comma" box. Then click ok.

E. Confirm the data as it is supposed to be.

F. Once everything looks good, you can use "Find and Replace" to replace all instances of '^' with ',' to get your commas back.

Please report back to Launchpad and mark this question Solved, if this resolves your question.

Thanks!

Harvey
