changing columns

Asked by Bud Light

I received a spreadsheet with names and addresses. The "A" column is addresses and the "B" column is last names. I would like to make an alphabetic list by last names. Can I do this by switching columns (I don't know how to do that) or by making an alphabetic listing using column B (I also don't know how).

Before starting, save your spreadsheet with a different name so you have a copy of your original.

Click the top of Column A to select the column and then use Edit | Copy. Next click on the top of Column C to select it. Then use Edit | Paste. You should now see Column A repeated as Column C. Next click the top of Column A to select it, then use Edit | Delete Cells to delete Column A. Now you've got the columns in the proper order.

Hold the shift key down and click the tops of Columns A and B to select them both. Next use Data | Sort and use the pull-down arrow in the Sort By box to select Column A and then click OK. That should sort Column A and Column B should be the proper match with Column A.

You don't need to swap columns around to do a sort (but all column to be sorted need to be adjacent).

To sort, Use Data > Sort. If you have A1 highlighted, it should suggest both columns to be sorted. Select 'Extend Selection', Then select Column B to 'Sort By'.
