Terms Question

the documentation indicate that
1. if we don't change group of students during our full year we should consider using that full year as a term
2. the report cards are not bound by terms.

our school situation

In our school we have 4 "grading terms", by which I mean we generate reports at the end of each one of the 4 terms (a trimester mainly) but the groups remain the same throughout the full school year

my question is

should we setup 4 terms within ST? to go along with our "term" convention or should we set a full year as the only term in ST and generate reports as needed by the end of "our own" terms.

I would say 1 term should suffice. Take a look at http://book.schooltool.org/report-sheet.html which pretty much describes how you need to set up the report sheets for your report card.
